About the role

Our client is seeking a highly organized, proactive, and resourceful Executive Assistant to join their team. This is a full-time, permanent opportunity for an individual who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys supporting both business and personal priorities. The ideal candidate is intellectually curious, process-oriented, adaptable, and passionate about continuous learning. They enjoy researching new systems, improving processes, and are willing to handle everything from strategic projects to day-to-day administrative tasks with equal enthusiasm. This individual takes pride in ensuring nothing falls through the cracks and understands that no task is too small when supporting executive success. Responsibilities Include Manage executive calendars, appointments, and schedules to maximize efficiency and time management Coordinate meetings, prepare agendas, and track follow-up action items Handle email, phone, and other correspondence on behalf of executives Arrange travel logistics, including transportation, accommodations, and detailed itineraries Support personal tasks, including errands, appointments, and household coordination Prepare reports, presentations, and business documents as needed Maintain organized records, files, and confidential information Serve as a liaison between executives, internal teams, vendors, and external partners Anticipate executive needs and proactively resolve issues to ensure smooth daily operations Research and evaluate new systems, tools, and technologies that improve efficiency and productivity Develop, document, and maintain Standard Operating Procedures (SOPs) to support consistent and scalable processes Manage and coordinate special projects from planning through completion while ensuring deadlines and objectives are met Assist with a wide variety of business and personal responsibilities, approaching every task with professionalism and a positive attitude Qualifications Previous experience as an Executive Assistant, or in a comparable administrative support role Exceptional organizational, multitasking, and time management skills Strong project management skills with the ability to prioritize multiple initiatives simultaneously Excellent written and verbal communication skills Demonstrated ability to handle confidential and sensitive information with the highest level of discretion Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office management systems Experienced in creating, documenting, and implementing Standard Operating Procedures (SOPs) Passion for continuous learning with the ability to quickly research and master new systems, processes, and technologies Enjoys reading, learning, and finding innovative ways to improve efficiency A hands-on, team-first mindset with the understanding that no task is too small when supporting executive success Self-motivated, resourceful, and able to work independently with minimal supervision Valid driver\'s license and reliable transportation J-18808-Ljbffr
