Assignment Length: 6 months with possible extension

Position Summary: We are seeking a detail-oriented Administrative Assistant I to provide administrative, clerical, recordkeeping, and accounting support to the Municipal Court team. This position will assist staff with daily office operations, maintain accurate records, provide excellent customer service, and perform a variety of administrative tasks in a fast-paced environment.
Key Responsibilities: Administrative & Clerical Support (40%)Provide general administrative and secretarial support to the assigned department and leadership. Prepare, proofread, and format correspondence, reports, memoranda, and other documents. Maintain calendars, schedule meetings, and coordinate appointments. Organize, maintain, and update files and records. Assist with data collection and preparation of reports and statistics. Accounting & Recordkeeping (25%)Perform bookkeeping and accounting clerical duties. Process journal entries and reconcile accounting records. Receive and process payments, applications, permits, and fees. Maintain petty cash and balance daily receipts. Support mail processing operations and ensure compliance with postal regulations. Data Entry & Payroll Support (20%)Enter and maintain accurate information in computer databases. Verify, correct, and retrieve electronic records. Assist with payroll processing and maintain payroll records. Prepare recurring and special reports. Customer Service & Office Operations (15%)Answer phones and greet visitors professionally. Respond to routine questions regarding policies, procedures, and services. Monitor office equipment and coordinate maintenance or repairs. Provide general administrative support to ensure smooth office operations.
Required: High school diploma or GED.Minimum one year of related administrative, clerical, or office support experience. Proficiency with Microsoft Office (Word, Excel, Outlook).Strong data entry and organizational skills. Excellent written and verbal communication skills. Ability to prioritize tasks and work independently.
Preferred: Experience with bookkeeping, accounting support, or payroll. Experience working in a government, municipal, legal, or court environment. Customer service experience in a professional office setting.
