About the role
Key Responsibilities
Greet visitors, answer phones, and direct inquiries appropriately.
Communicate professionally with English- and Spanish-speaking employees, vendors, and guests.
Maintain a welcoming and organized front office environment and Supply Room.
Provide administrative support such as filing, data entry, scanning, copying, and correspondence.
Assist with scheduling, meeting coordination, and office communications.
Support HR, office staff, and management with clerical tasks as needed.
Handle incoming mail, deliveries, and office supply tracking.
Maintain confidentiality when handling employee and company information.
Assist with general office organization and special projects.
Qualifications
High school diploma or equivalent required; additional administrative training preferred.
Prior reception, office administration, or customer service experience preferred.
Bilingual in Spanish and English strongly preferred.
Strong communication, organization, and multitasking skills.
Professional, friendly, and dependable demeanor.
Comfortable using email, phone systems, Microsoft Office, and basic office equipment.
Familiarity with Netsuite ERP system.
Ability to work in a manufacturing or office environment.

Work Environment
This position is based in a manufacturing office setting and requires regular interaction with employees, vendors, and guests. The role may involve sitting, standing, and occasional light lifting related to office supplies or materials. We are a GMP facility, certain regulatory rules we need to be followed.
