About the role
Job Description:
This position will serve as a Senior Coordinator Events for the Learning & Development team, which is part of the Legal Talent Office, and will be responsible for the logistical and operational work required to plan, coordinate, and execute the Firm’s educational programs for lawyers. This includes corresponding with lawyers to schedule and organize programs as well as coordinating logistics with internal teams (Media, Conference and Dining Services, etc.) to ensure each program is executed successfully. 3+years EVENTS in law firm required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Plan, organize, and execute the Firm’s educational programs for lawyers across all seniority levels and practice groups.
Manage the logistics and operations for the programs, including multi-day programs such as new associate and summer associate orientation, practice group academies and other large-scale/multi-day programs, short CLE programs, and practice group meetings.
Maintain the educational program calendar and coordinate with lawyers to schedule programs, respond to questions, and communicate relevant program details.
Coordinate all program logistics with internal teams, including Media, Conference and Dining Services, Building Security, and other departments.
Coordinate with external vendors involved in educational programming, including managing scheduling, materials, logistics, and other program requirements.
Monitor and respond promptly to emails and other inquiries regarding programs.
Attend educational programs, which occur multiple times each week, to provide on-site logistical support along with assistant(s), assist participating lawyers, and coordinate with internal teams to address any issues involving technology, room arrangements, catering, or other program needs. Coordinate with presenters to provide CLE codes and display CLE sign in sheets where applicable.
Maintain flexibility to work outside standard office hours on occasion, including arriving early or staying late, as needed to support educational programs. Overtime is available
Supervisory Responsibilities:
Coordinate staffing coverage and assign assistant(s) to provide on-site support, particularly when multiple programs are scheduled at the same time, to ensure each program has in-person support.
