About the role
We are seeking a detail-oriented and proactive Project Manager to support and lead small to medium projects and sub-projects from proposals through closeout. This role is responsible for coordinating scope, schedule, budget, invoicing, deliverables, and client communication while working closely with Senior Project Managers, internal execution teams, consultants, and clients.Responsibilities:Identify all required Prism and consultant scopes through field walks, RFP review, and client coordinationIndependently define scope for small, medium, and large sub-projects and lead projectsPrepare detailed cost estimates for projects of varying size and complexityIdentify scope gaps, risks, and additional service opportunitiesPrepare proposal write-ups including scope, deliverables, services, assumptions, and exclusions for small and medium projects; assist on larger or lead projects as assignedSupport contract execution, funding setup, and project initiation activitiesIdentify potential scope gaps or additional service opportunities during proposal and execution phasesCoordinate internal and external project kick-off meetingsEstablish project folders, BIM360 setup, SmartSheet, QA/QC tracking, and required documentationEnsure project information (schedule, milestones, forecast, team, contacts) is updated prior to kickoffCoordinate with drafting and document control teams to obtain required background filesDevelop and maintain project schedules based on scope, deliverables, and stakeholder availabilityMonitor progress and adjust schedules due to scope changes, missing information, or unforeseen conditionsIdentify scope changes and evaluate impacts to fee and scheduleCoordinate and process change orders with the client and internal teamsEnsure approved scope changes are clearly communicated to execution teamsCoordinate project funding updates based on executed contractsEstablish and maintain project invoice schedules aligned with project milestonesIssue client invoices and review/approve consultant invoicesTrack AR due dates and support timely collectionsMaintain accurate project cost forecasting and support corrective actions to minimize profit lossSave and organize all project financial documentationServe as a primary point of contact for internal teams, consultants, and clientsLead or support internal workgroup meetings to review project status and deliverablesFacilitate meetings to resolve schedule, cost, or performance escalationsPrepare and distribute meeting agendas and minutes in a timely mannerCommunicate project updates clearly and consistently to all stakeholdersCoordinate QA/QC reviews to confirm deliverables meet scope and quality requirementsVerify completeness of project deliverables prior to submissionIssue deliverables to client document control systems, including transmittals and supporting filesReview project performance metrics regularlyDocument known project impacts and risksCoordinate with supervisors to address performance or cost concernsIdentify opportunities for process improvement and additional client servicesPerform other duties as assigned.Qualifications:Bachelor’s degree in Engineering, Architecture, Construction Management, or related field (or equivalent experience)1- 3 years of project management or project coordination experience (level dependent)Experience managing schedules, budgets, consultants, and deliverablesStrong written and verbal communication skillsProficiency with project management tools (SmartSheet, BIM360, MS Project, or similar preferred)Ability to manage multiple projects and priorities simultaneouslyClient-facing experience and comfort leading meetingsStrong organizational and documentation skills
