About the role
- Manage and maintain a highly complex and ever-changing executive calendar, including scheduling meetings, appointments, and travel arrangements
- Coordinate meetings end-to-end, including room bookings, technology setup, and catering/lunch ordering
- Serve as a gatekeeper and strategic partner to the CEO, prioritizing requests and managing time effectively
- Coordinate transportation logistics, including daily driver scheduling
- Provide light personal support, including handling occasional errands and personal scheduling needs
- Prepare meeting materials, presentations, and reports as needed
- Attend meetings when necessary, take notes, and track follow-ups/action items
- Partner closely with the Office Manager to ensure smooth day-to-day office operations
- Assist with general office coordination, including vendor communication and event support
- Handle confidential information with the highest level of discretion and professionalism
- 4–5+ years of experience supporting a senior executive in an Executive Assistant capacity
- Background in financial services or another data-driven, fast-paced industry strongly preferred
- Highly polished, professional demeanor with strong communication skills
- Confident and assertive, able to push back, manage up, and hold an executive accountable
- Proactive, solutions-oriented mindset with strong problem-solving abilities
- Tech-savvy with proficiency in Microsoft Office Suite (Outlook, Teams, etc.)Strong organizational skills with exceptional attention to detail
- Energetic, personable, and able to build rapport with a dynamic executive
- Ability to juggle competing priorities and adapt quickly in a fast-moving environment
