Our client, a private philanthropic organization that funds in North America and Israel, is seeking an Operations Manager to support its New York City team by overseeing and coordinating daily office activities, enhancing team productivity to ensure the efficient running of the office, and driving operational excellence across various functions. The ideal candidate will be a flexible, motivated, organized problem-solver who can prioritize effectively, pivot readily between responsibilities, and is comfortable embracing new AI tools and other technology to execute responsibilities efficiently and accurately.

OFFICE REQUIREMENTS: 4 days in office / 1 day remoteCOMPENSATION: $100K-$115K base + excellent benefits + opportunity to participate in a deferred bonus programBACHELOR'S DEGREE REQUIRED: Preferred / equivalent experience accepted Responsibilities of the Operations Manager: Personnel-Facilitate technical elements of onboarding and offboarding in collaboration with program and operations teams, including background checks, documentation verification, workstation, and IT setup. Facilities-Serve as backup, when necessary, for organizing daily office operations, maintaining office supplies, and communicating with building management and external service providers to address facility-related matters. Technology-Administer the CRM system, providing support to the team and handling requests for assistance.-Maintain and manage organizational data in SharePoint, ensuring accuracy, consistent organization, and secure handling across systems in line with data governance policies.-Manage IT equipment and systems in accordance with rigorous IT security policies, including computers, video conferencing, printers, AV equipment, software, screens, laptop SIM cards, and other devices, and adhere to maintenance practices to keep them in good working order.-Troubleshoot IT support requests from employees and liaise with external IT support to ensure timely resolution.-Handle technology supply and equipment purchases in line with office policy. Other Support-Document standard operating procedures for operational responsibilities, including inventory, maintenance, technology, and vendor management.-Support additional ad-hoc projects as needed and upon request. Requirements of the Operations Manager:-Bachelor’s degree or equivalent experience.-5+ years of experience in a dynamic, fast-paced office environment.-Proficiency with office technologies, including computer/printer hardware and software, video conferencing systems, and IT security policies.-Excellent communication skills and ability to work with diverse stakeholder groups.-A consistent track record of handling sensitive and confidential information with the utmost discretion.-Comfort and enthusiasm for using AI tools and other technological innovations to increase efficiency and productivity.-Exceptionally well-organized, with the ability to manage multiple operational areas efficiently, prioritizing tasks and meeting deadlines.-An excellent problem-solver, capable of handling operational challenges effectively and professionally.-Emotionally intelligent, exercising a professional demeanor, discretion, and tact, including in sensitive or confidential situations.-Adaptable to changes and willing to take on new challenges and opportunities as they arise.-Able to work effectively both in a team environment and independently.-Kind, courteous, and respectful in all interactions.-Verifications of identity, education, prior employment, and references may be required.
