About the role

Our client is a global financial services firm that values collaboration, innovation, and a strong commitment to technology and continuous improvement. They are seeking a highly organized, proactive, and service-oriented Office Coordinator to support the day-to-day workplace experience. This role will help keep the office running smoothly while coordinating office logistics, travel support, vendor relationships, employee events, and recurring administrative processes. The ideal candidate is detail-oriented, dependable, and someone who enjoys keeping many moving pieces organized while creating a positive experience for employees and guests. This position is Temp-to-Hire, on-site Monday through Friday, 7:00 a.m. to 4:00 p.m CT.
Responsibilities: Create a welcoming, polished experience for visitors, candidates, vendors, and employees while managing front-desk coverage, calls, deliveries, and shared office communications. Oversee day-to-day office operations, including supplies, inventory, mail, building access, maintenance, repairs, security, and coordination with building management and vendors. Coordinate office events, team gatherings, celebrations, and employee recognition programs, managing catering, décor, gifts, swag, headcounts, communications, and day-of logistics. Manage employee travel arrangements, including flights, hotels, ground transportation, itineraries, and support for visiting employees and guests. Support employee onboarding and offboarding and maintain office records, directories, calendars, floor plans, trackers, and other administrative systems. Coordinate office purchases and vendor relationships, including orders, invoices, receipts, deposits, expense submissions, and recordkeeping. Draft and distribute internal communications, announcements, invitations, and other employee-facing content while using AI tools appropriately to streamline routine administrative and event-planning tasks.
Ideal Experience: Bachelor’s degree in business administration or a related field preferred.1–3 years of experience in office coordination, workplace operations, hospitality, events, administrative support, or a similar coordination-focused role preferred. Excellent organizational, time-management, and multitasking skills, with strong attention to detail and follow-through. Strong written and verbal communication skills with a professional, service-oriented, and responsive approach. Ability to manage recurring responsibilities while confidently responding to day-to-day needs and changing priorities. Proficiency with Microsoft Office, Outlook, and common workplace tools. Comfortable coordinating with vendors, managing schedules, and handling office logistics.
