Position Overview: All Season Global Solutions. is seeking an organized and detail-oriented Associate Project Coordinator to support day-to-day project and operational activities. This position is ideal for someone who is organized, dependable, comfortable working with data and documents, and interested in developing experience in project coordination, logistics, and operations. The Associate Project Coordinator will work alongside and report to the Operations Project Manager, assisting with scheduling, work orders, purchase orders, document management, and communication between clients and internal departments. The ideal candidate is comfortable managing multiple tasks, learning new systems, and working in a fast-paced environment. Success in this position will be demonstrated through accurate data and documentation, timely follow-up, organized project records, effective communication, and the ability to support the Operations Project Manager and broader operations team in keeping projects and daily activities on track.
Responsibilities:
  • Assist with scheduling projects, deliveries, and services
  • Assist in creating, updating, and maintaining work orders and project records.
  • Maintain accurate databases, spreadsheets, and project documentation.
  • Support project planning by maintaining schedules, trackers, work orders, and project documentation
  • Assist with tracking purchase orders, receiving information, and related documentation.
  • Communicate with clients regarding scheduling and project-related updates.
  • Escalate issues or discrepancies to management when additional assistance is needed.
  • Maintain confidentiality of company and customer information.
Qualifications: High school diploma or equivalent required; college or a related field is a plus. Previous office, administrative, logistics, or coordination experience is helpful but not required. Strong attention to detail and accuracy. Strong organizational and time-management skills. Good verbal and written communication skills. Comfortable working with numbers, spreadsheets, and data. Ability to prioritize multiple tasks and meet established deadlines. Comfortable learning new software and systems. Proficient with Microsoft Office, particularly Excel and Outlook., experience with Smartsheet is a plus.
