About the role

Our client is seeking an experienced Trusts & Estates Practice Manager to join its growing Trusts & Estates practice. This is a leadership opportunity for a highly organized professional with substantial experience in estate planning, trust administration, wealth management, private banking, family office operations, or law firm practice management. The Practice Manager will play a critical role in overseeing workflow, coordinating complex estate planning matters, managing administrative staff, and serving as a key liaison among attorneys, clients, financial advisors, and other professionals. The ideal candidate is a proactive problem solver who thrives in a fast-paced environment and has a strong understanding of trusts and estates processes.
Key Responsibilities: Manage the day-to-day operations of the Trusts & Estates Practice Group. Oversee estate planning workflows, ensuring matters progress efficiently and deadlines are met. Coordinate the preparation and execution of estate planning documents, including:
  • Wills
  • Revocable and irrevocable trusts
  • Powers of attorney
  • Advance healthcare directives
  • Related estate planning instruments
  • Implement and maintain quality control measures for all client deliverables.
  • Supervise and mentor administrative staff supporting estate planning attorneys.
  • Serve as a primary point of contact for clients, referral sources, and professional advisors.
  • Coordinate meetings involving attorneys, clients, financial advisors, accountants, trustees, and other stakeholders.
  • Manage new client intake and matter opening processes, including the collection and organization of client information.
  • Ensure compliance with firm policies, procedures, and documentation standards.
  • Oversee file management, document retention, and matter closing procedures.
  • Coordinate with billing and finance teams to resolve outstanding work-in-progress (WIP) and accounts receivable (AR) before matter closure.
  • Maintain confidential and sensitive client information with the highest degree of professionalism.
  • Continuously identify opportunities to improve processes, workflow efficiency, and client service.
Qualifications: 5+ years of experience in trusts and estates, estate planning, trust administration, private banking, wealth management, family office operations, or a related field. Prior experience in a law firm, trust company, private bank, family office, or wealth management organization preferred. Demonstrated experience managing teams, workflows, and complex client matters. Strong understanding of estate planning documents and trust administration procedures. Excellent organizational, project management, and time management skills. Exceptional written and verbal communication abilities. Ability to manage multiple priorities and deadlines in a fast-paced environment. High level of discretion, professionalism, and client service orientation. Proficiency with Microsoft Office and legal or trust administration software.
