About the role
Office Assistant The office assistant is responsible for providing professional, courteous, and efficient customer service while handling a high volume of incoming calls assisting callers with information, scheduling, and dispatching. This position requires strong communication skills, attention to detail, patience, and ability to remain professional and helpful in a fast-paced environment while utilizing the DOTD STTARS scheduling and tracking software. Specific tasks, duties, and responsibilities include: Answer and manage a high volume of incoming calls in a timely and professional manner Provide excellent customer service to callers, passengers, staff and the public Respond to questions, concerns, complaints, and requests while maintaining a professional attitude Follow established DOTD, city and department policies and procedures as well as customer service standards Stay informed of changes to DOTD and transit regulations Provide accurate information regarding services, schedules, policies, procedures and other operations Assist with scheduling, dispatching, cancellations, confirmations, and requests accurately Document calls, caller concerns, and service requests Maintain confidentiality of customer and department information Perform general office duties, including data entry, filing, copying, scanning, shredding and maintaining logs and records Prioritize multiple tasks and manage time effectively in busy environment Handle difficult situations in a calm and professional manner with referral to supervisor Assist with events held at transit department Intake fees for passenger transport Follow City of West Monroe and transit dress code Assist in keeping transit department clean and orderly Perform other duties as assigned Worker requirements include:
Education & Experience
Preferred: Experience in transit operations
Required:
High school diploma or GED.An equivalent combination of education, training, and experience may be considered.
Knowledge, Skills & Abilities
Required:
- Knowledge of general office/clerical & computer skills
- Proficiency in Outlook and Microsoft Office
- Ability to learn STTARS software system
- Ability to multitask and work in fast-paced environment
Ability to prepare accurate reports, maintain records, and complete documentation in a timely manner.
Ability to communicate effectively with public, callers, transit drivers and supervisors
Ability to work independently, exercise sound judgment, and maintain confidentiality.
Licenses & Certifications
Required:
Valid Louisiana driver's license. Ability to obtain and maintain any state, city or DOTD certifications Hours/Scheduling This position is generally scheduled Monday through Friday from 9:00 am to 3:00 pm for a maximum of 29 hours per week. Work times may vary depending on changes with other transit staff or work demands.
