About Us: We are a private single-family office based in Englewood, New Jersey. Our office supports both the personal and household administrative needs of the family and the operations of a small in-house investment group focused on long-term portfolio strategy. This is a small, discreet, and high-trust environment where professionalism, judgment, and attention to detail matter. We are looking for someone experienced, reliable, easy to work with, and comfortable working closely with principals and advisors in a private office setting.
About the Role: We are seeking a part-time, hourly Administrative Assistant to provide approximately 18 hours per week of on-site support (~6 hours, 3 days per week). The role is expected to be roughly split between family/household administrative support and investment office support. This position is well suited for an experienced administrative or executive assistant who enjoys variety, values flexibility, and is looking for steady part-time work rather than a full-time role. The ideal candidate will have some past experience as an administrative assistant at an investment firm or related financial services firm.
What You'll Do: Provide comprehensive administrative support including managing calendars, scheduling, travel arrangements, and household logistics. Coordinate with vendors, service providers, attorneys, accountants, and outside professionals. Assist with errands, correspondence, reservations, and day-to-day administrative needs. Track expenses, process invoices, and assist with light bookkeeping. Help maintain orderly systems for both family office and investment office workflows. Handle sensitive information with discretion and sound judgment.
What We're Looking For: 5+ years of administrative assistant, executive assistant, or office support experience. Prior experience in a financial services firm, family office, RIA, hedge fund, private equity firm, or similar environment preferred. Exceptional discretion, confidentiality, and professionalism. Strong organizational skills and careful attention to detail. Proficiency with Microsoft Office and calendar/email tools. Comfort working independently in a small-office environment. Clear written and verbal communication skills. Ability to manage both personal/household and business/investment-related tasks.
