About the role
Job Description:
Shipping & Office Assistant We are looking for a reliable, organized, and detail-oriented Assistant to manage our daily shipping operations while providing administrative and invoicing support. Main responsibilities include but are not limited to: monitoring shipments through delivery, preparing shipping estimates, invoicing customers, and following up on outstanding payments.
Key Responsibilities:
Process and coordinate daily shipments Prepare shipping labels, documentation, and related paperwork Track all shipments from pickup through final delivery Monitor tracking information and follow up on delays, exceptions, or delivery issues Communicate with carriers regarding shipment status, delivery issues, claims, and other concerns Provide customers with tracking information and shipping updates as needed Prepare shipping estimates and quotes for customers Maintain accurate and organized shipping records Coordinate with internal teams to ensure orders are shipped accurately and on schedule Prepare and send customer invoices accurately and in a timely manner Send payment links and provide customers with payment options Monitor outstanding invoices and follow up professionally with customers regarding past-due balances Communicate with customers regarding invoice questions, payment status, and account balances Maintain accurate records of invoices, payments, and outstanding balances Assist with general office and administrative tasks as needed Provide support to the sales and customer service teams when needed
Qualifications:
Previous shipping, logistics, invoicing, accounts receivable, or administrative experience preferred Strong organizational skills and attention to detail Comfortable using computers, Microsoft Office, shipping software, and tracking systems Strong communication and customer service skills Ability to manage multiple tasks and follow through on outstanding items Professional and courteous when communicating with customers regarding payments Reliable, dependable, and able to work independently Experience with UPS, Fed Ex, USPS, Ship Station, or similar platforms is a plus The ideal candidate is organized, dependable, and proactive, with the ability to manage shipping responsibilities while keeping invoices, payments, and office tasks organized and up to date.\nCompany
