Job Description: We are seeking an Administrative Assistant to join our partnering company team in Canada! You will perform clerical and administrative functions in order to drive company success.
Responsibilities: Coordinate and schedule client appointments, assessments, and follow-up sessions. Utilize scheduling software and tools to ensure efficient allocation of resources and availability of therapists and coaches. Maintain clear and effective communication with clients, coaches/therapists, and other team members. Respond to inquiries promptly and professionally, both via phone/text and email. Assist in various administrative tasks, including data entry, file management, and maintaining accurate client records. Handle sensitive and confidential information with the utmost discretion and professionalism, adhering to all privacy and other staff members. Provide basic information to clients about the services offered, answer general inquiries, and direct them to the appropriate resources when necessary.
Qualifications:
  • High School Diploma or equivalent (Associate's degree or higher preferred)
  • Proven experience in administrative roles
  • Strong organizational skills with a keen attention to detail
  • Proficiency in using scheduling software, Google Workspace, and the ability to learn new programs
  • Excellent communication skills, both written, and verbal
  • Ability to handle multiple tasks simultaneously and work effectively under pressure
  • Strong interpersonal skills and a client-centered approach
  • Respect for confidentiality and ethical standards
  • Experience in call centers is an asset.
Language requirements: English - advanced
Knowledge of Arabic or French is an asset
