Role Description: The Procurement Specialist / OMT Associate is a full-time, on-site position in Indianapolis, Indiana, reporting to the Operations Manager. This role supports our Order Management Team by processing sales and purchase orders, coordinating with suppliers, tracking deliveries, and keeping customers informed. You will work closely with sales, operations, and quality to verify order requirements, resolve discrepancies, and keep orders moving from placement through delivery. Success in this role requires accurate work, professional communication, and consistent follow-up.
Responsibilities: Create, review, and update sales orders, purchase orders, and account records in Salesforce. Verify part numbers, quantities, pricing, lead times, and documentation requirements. Communicate with suppliers to obtain order acknowledgments, delivery updates, and tracking information. Follow up on outstanding information, approaching deadlines, and overdue orders. Notify customers and internal teams of delays or changes to orders. Document order issues, coordinate resolutions, and follow through to closure. Escalate unresolved supplier concerns to the appropriate manager. Support the Purchasing and Customer Service inboxes as assigned. Assist with inventory reviews, purchasing opportunities, product usage, and forecasting. Maintain accurate records and follow company purchasing, quality, and order management procedures.
Qualifications: High school diploma or GED.At least six months of related experience or training in procurement, order management, customer service, or administrative support. Strong attention to detail and the ability to manage multiple priorities. Effective written and verbal communication skills. Ability to identify discrepancies, solve routine problems, and follow established procedures. Comfortable using business software, email, and electronic records. Basic math skills, including percentages, quantities, and units of measure. Ability to work independently and collaborate with coworkers. Availability to work on-site at our Indianapolis office.
Preferred Experience: One year of procurement, purchasing, or order management experience. One year of customer service experience. Experience in aerospace, defense, manufacturing, or industrial distribution. Salesforce experience. Familiarity with supplier follow-up, delivery tracking, and quality documentation.
