We're looking for a dependable, compassionate, and detail-oriented Client Care Coordinator & Administrative Assistant to join our growing team. This individual will play an important role in creating a warm, responsive, and professional experience for prospective and current clients while supporting the day-to-day administrative operations of the practice.
Position Overview: This is a fully remote position that will begin part-time at approximately 20 hours per week, with the expectation that the role will grow toward full-time over the next year as the practice and position continue to expand. Because we are hiring with long-term growth in mind, we are specifically looking for someone who is interested in growing with the practice and ultimately transitioning into a full-time role. Working closely with our Administrative Lead and practice leadership, you'll help create a seamless, professional experience for clients and clinicians while ensuring the day-to-day operations of the practice run smoothly.
Responsibilities
Responsibilities include: • Conducting consultation calls with prospective therapy clients • Answering incoming phone calls, emails, and text inquiries • Scheduling consultations and appointments • Verifying insurance benefits • Coordinating referrals when appropriate • Supporting new client intake and onboarding • Maintaining accurate electronic records and documentation • Assisting with administrative and operational projects • Supporting practice leadership with administrative tasks • Delivering exceptional customer service while maintaining professionalism and confidentiality
Qualifications: We're looking for someone who is: Exceptionally organized with strong attention to detail Warm, personable, and professional An excellent verbal and written communicator Comfortable speaking with clients by phone throughout the day Dependable, responsive, and proactive Able to work independently in a remote environment Comfortable managing multiple priorities in a fast-paced setting Committed to maintaining confidentiality and professionalism Interested in a long-term position with the opportunity to grow into a full-time role Excited to grow alongside a collaborative, mission-driven practice
Preferred qualifications include: Previous administrative, receptionist, customer service, and/or healthcare office experience Experience using electronic health records (EHRs), scheduling software, CRM systems, or similar administrative platforms Experience with insurance billing, credentialing, and verification calls Intermediate proficiency with Microsoft Excel and Word High school diploma or higher Pennsylvania resident preferred, but not required. Candidates will be considered regardless of state of residence. Schedule Approximately 20 hours per week to start Hours are expected to increase over time as the practice and responsibilities of the position grow, with the goal of developing this into a full-time role over the next year Fully remote Applicants must have consistent weekday availability during normal business hours (Monday–Friday)A consistent weekly work schedule is required. While we strive to offer flexibility whenever possible, applicants should be able to commit to a schedule that aligns with the operational needs of the practice. Because this position is intended to grow over time, applicants should be interested in and reasonably available for increasing hours as the role expands.
