About the role
The Accounts Payable Specialist reports directly to the Director of Finance. This position is primarily responsible for the accurate and timely processing of invoices, disbursements, and expense reports utilizing the corporate ERP system, while ensuring the integrity of financial records. Maintain highly accurate financial records and support the Director of Finance on various special projects as needed.
Key Responsibilities:
Review, verify, and process a high volume of vendor invoices accurately and timely. Match invoices to purchase orders (POs) and receiving documents to identify and resolve discrepancies. Assign accurate general ledger (GL) codes and cost centers to all incoming bills and invoices. Reconcile vendor statements regularly; research and resolve outstanding balances or variances. Scan, file, and organize physical and digital AP records and vendor files. Act as the primary point of contact for internal and external inquiries regarding payment status. Assist with the month-end close process by preparing required journal entries and account reconciliations. Analyze financial data, solve workflow problems, and perform other duties aligned with the position.
Qualifications:
High school diploma required; an Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration is highly preferred.3+ years of dedicated accounts payable experience (Required).2+ years of Basic Accounting, Bookkeeping (Preferred).Previous experience in the pharmaceutical industry is highly preferred. Strong data entry skills, a solid understanding of basic bookkeeping/accounting principles, high attention to detail, and proven problem-solving abilities. Proficiency with ERP accounting software and automated AP routing tools (SAP Preferred).Good Microsoft Excel skills (including VLOOKUPs, pivot tables, and basic formulas).PHYSICAL DEMANDS/ENVIRONMENTAL CONDITIONS:Standard office environment. Ability to sit for extended periods of time working at a computer.
