About the role
We are seeking a highly organized, proactive, and detail-oriented Brokerage Team Operations Coordinator to support our commercial real estate brokerage team. This role is ideal for someone who enjoys managing multiple projects, thrives in a fast-paced environment, and wants to build a career in commercial real estate. This is an IN OFFICE position.
RESPONSIBILITIES & DUTIES:
This role's primary responsibility will be Contract Data Entry, Review and Agent Assistance as needed
- AIR documents
- Letter of Intent
- Listing and purchase agreements
- Leases, and addendums
- Letters, offers and counter offers
- Proposals
- Market Reports
- Mailers and labelsADMINISTRATIVE
- DocuSign: Prepare and send documents for electronic signature
- Database entry into Commercial Real Estate software
- Update various websites with current brochures/listings
- Answer and direct phone calls
- Back-up to mail: stamping, distribution, and overnight mail/packages
- Back-up to inventory of office and kitchen supplies
- Back-up to stocking office and kitchen suppliesQUALIFICATION
- Highly organized with exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Self-motivated, proactive, and able to work both independently and collaboratively.
- Proficiency with Microsoft Office Suite/Adobe Suite
- Experience with CRM platforms is preferred.
- Experience with CoStar, LoopNet, or commercial real estate is a plus, but not required. SUCCESS FACTORS
- A minimum of 3 years’ Administrative Assistant experience is required. Commercial real estate experience preferred.
- Proficient with Microsoft Office and Adobe Suites.
- Precise attention to detail with a commitment to accuracy.
- Ability to stay organized and multi-task efficiently.
- Effective time management; maximizes productivity.
- Flexibility is required as job responsibilities may occasionally shift.
- Strong and effective communication skills.
