As we continue to scale globally, we are seeking a highly capable, proactive, and commercially minded professional to serve as an Executive Assistant.This role is ideal for someone who thrives in a fast-paced, high-growth environment and is equally comfortable owning operational execution and acting as a trusted strategic partner to executives. The scope is broad, the exposure is significant, and the impact is meaningful. This is not a purely administrative role. It requires judgment, discretion, commercial awareness, and the ability to anticipate needs in a dynamic environment.This is first and foremost a senior executive support role. Success requires exceptional execution of the fundamentals—calendar, travel, meeting preparation, communication, and follow-through—combined with the judgment and business awareness to act as a proactive partner to the executives supported. This is a remote position, but we require someone located in Eastern Standard Time (EST), East Coast preferred, in the United States.Key Responsibilities:Executive Support:Provide high-level executive support to members of Harbor's Executive Leadership Team, managing complex and often competing priorities across multiple executivesProactively manage competing priorities across multiple executives, exercising sound judgment regarding urgency, sequencing, and trade-offs.Maintain a holistic view of executives' commitments and priorities, identifying conflicts and ensuring critical matters receive appropriate attention.Manage complex calendars and scheduling across multiple executives, geographies, and time zones.Coordinate domestic and international travel, including complex itineraries and last-minute changes.Ensure supported executives are fully prepared for internal and external meetings, proactively coordinating agendas, materials, context, logistics, and follow-up.Manage expense reporting and administrative documentationDraft correspondence and internal communicationsStrategic Partnership:Act as a trusted partner to executives, anticipating priorities and proactively managing competing demandsStrong executive presence and judgment, with the ability to represent senior leaders professionally with clients, Board members, investors, and internal stakeholdersSupport planning and tracking of key initiatives and business objectivesHelp prepare leaders for meetings and client engagementsMaintain visibility into strategic priorities and ensure follow-through on action itemsServe as a discreet and highly confidential gatekeeperCross-Functional Coordination:Interface with senior stakeholders across the UK, US, and global teamsHelp drive operational alignment between leadership and execution teamsSupport special projects and transformation initiatives as requiredExperience & Qualifications:Experience in professional services, consulting, legal, financial services, or another complex client-service environment or high-growth environment5+ years of progressive executive support experience, including direct support of C-suite or senior executives.Demonstrated experience independently managing complex calendars, travel, meeting preparation, communications, and competing priorities.Experience simultaneously supporting multiple senior executives strongly preferred.Experience in a PE-backed, global, or rapidly scaling organization is advantageous.Proven ability to operate independently with sound judgment and limited day-to-day direction.Demonstrated discretion handling highly confidential and sensitive information.Strong executive presence and ability to interact credibly with senior internal and external stakeholders.Skills & Attributes:Demonstrated ability to anticipate executive needs, identify issues before they become problems, and independently determine appropriate next steps.Highly organized with exceptional attention to detailStrategic thinker with strong execution capabilityExcellent written and verbal communication skillsStrong interpersonal skills and executive presenceCalm under pressure and able to manage competing prioritiesComfortable operating independently while partnering cross-functionallyDesirable:Experience in a PE-backed or scaling organizationExperience supporting board-level or C-suite executivesRequirements:Standard working hours: 8:30am – 5:30pm EST (flexibility required to support senior leadership as needed)Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams)Experience in a similar office administration, facilities, operations, or executive support roleAbout Us:Harbor is the preeminent provider of expert services across strategy, legal technology, operations, and intelligence.
