Part-Time Data Entry Specialist The University of St. Thomas invites qualified candidates to apply for a Part-Time Data Entry Specialist for the Admissions department. We anticipate this to be a temporary assignment with an end date of November 30, 2026. Additionally, this position will work up to 30 hours per week, with a flexible schedule. This position is not benefits eligible.

Job Summary: The Temporary Admissions Data Entry Specialist provides administrative and data entry support to the Admissions team. This position is responsible for accurately processing incoming admissions documents, verifying applicant information, entering academic data into Salesforce, and preparing applications to move forward for admissions review. The role will also support additional admissions-related data entry and administrative projects as needed.
Essential Functions: Intake and organize incoming admissions documents, including academic transcripts and other application materials. Review submitted documents to verify that the applicant's identifying information matches the corresponding admissions application. Extract relevant academic and applicant information from transcripts and accurately enter data into the Salesforce application. Review data for accuracy and completeness and resolve discrepancies when identified. Update application records and move completed applications forward in the admissions process for review and decision-making. Maintain accurate and organized electronic records in accordance with established admissions procedures. Assist with data entry projects related to prospective student inquiries, applicant records, and other admissions data. Perform routine quality checks to ensure data accuracy, consistency, and completeness. Provide general administrative support to the Admissions team as needed. Perform other admissions-related duties and special projects as assigned.
Minimum Qualifications:
  • High school diploma or equivalent required
  • Strong attention to detail and commitment to data accuracy
  • Comfortable working with confidential and sensitive applicant information
  • Strong organizational and time-management skills
  • Ability to work efficiently with repetitive tasks while maintaining a high level of accuracy
  • Ability to follow established procedures and identify discrepancies or missing information
  • Ability to work independently while also collaborating effectively with a team
Preferred Qualifications: Previous experience with data entry, records processing, admissions, higher education, or a similar administrative environment Proficiency with Microsoft Office or Google Workspace; experience with Salesforce or another CRM/database system is a plus.
