About the role
We are seeking an experienced Senior Accounting Specialist with a strong background in construction accounting and Accounts Payable to join a well-established, family-owned construction management and general contracting firm with a long history of delivering high-quality projects across a diverse range of industries. The ideal candidate understands the unique requirements of construction A/P, including job costing, cost codes, AIA billing, retainage, purchase orders, and subcontractor invoices.
Key Responsibilities:
- Scan and import expense invoices and subcontractor applications into a cloud-based invoice approval system
- Review, code, and distribute invoices to project managers and owners for approval
- Export approved invoices and transactions into Sage accounting software
- Ensure invoices are accurately coded to the appropriate jobs and cost codes
- Support A/P processes involving purchase orders, subcontractors, AIA billing, and retainage
- Maintain accurate electronic and physical filing systems, including daily and year-end records
- Track and reconcile use tax
- Monitor receipts and reconcile company credit card activity
- Ensure accounting transactions are processed accurately and within appropriate accounting periods
- Work closely with project managers, owners, and accounting team members to resolve invoice and coding questions
- Manage multiple priorities while maintaining a high level of accuracy and organization
Qualifications:
- Prior Accounts Payable experience within the construction industry required
- Strong understanding of construction job costing and cost codes
- Experience with AIA billing and retainage
- Familiarity with purchase orders and subcontract agreements
- Experience working with Sage or a similar construction accounting/ERP system
- Strong attention to detail and organizational skills
- Solid understanding of accounting principles and accounting dates
- Ability to multitask and prioritize in a deadline-driven environment
