About the role
Human Resources Administrative Assistant Full-Time | Charlie’s Family of Dealerships Charlie’s Family of Dealerships is seeking a dependable, organized, and detail-oriented Human Resources Administrative Assistant to join our HR Administrative team. This is an excellent opportunity for someone who enjoys working with people, is highly organized, maintains confidentiality, and takes pride in providing excellent administrative support. The HR Administrative Assistant will work closely with the Human Resources Director/Manager and assist with the HR/Office Management department's daily administrative functions across our dealership locations.
Key Responsibilities:
Provide day-to-day administrative support to the Human Resources Department Assist with new-hire onboarding, including preparing employee paperwork and coordinating onboarding tasks Maintain accurate and confidential employee personnel files and records Manage employee timecards and process payroll with accuracy Assist with benefits administration, including health, dental, vision, 401(k), and other employee benefit programs Assist with employee status changes, benefit enrollments, and required documentation Support payroll and timekeeping processes by assisting with employee questions, reviewing information for accuracy, and gathering required documentation Assist with maintaining employee information in our HRIS and other HR systems Help track employee vacation, Maine Earned Paid Leave, and other applicable time-off information Assist with employee communications, HR announcements, and distribution of company policies and information Assist the Office Manager with accounting tasks. Assist with employment paperwork. Maintain confidentiality of sensitive employee and company information at all times Assist with employee events, recognition programs, and other HR initiatives Help ensure HR records and documentation are accurate, complete, and up to date Assist with compliance-related administrative tasks and documentation Provide professional and friendly customer service to employees and managers Perform other HR/Office-related administrative duties as assigned
Qualifications:
Previous administrative, office, or Human Resources experience preferred Excellent organizational and time-management skills Strong attention to detail and accuracy Excellent written and verbal communication skills Ability to maintain confidentiality and exercise good judgment Professional, approachable, and dependable Ability to work independently while also functioning effectively as part of a team Comfortable working with computers, Microsoft Office, email, and HR/payroll systems Ability to manage multiple priorities and meet deadlines Experience with a multiline phone system Previous experience with an HRIS, payroll, or benefits system is a plus Experience with accounting
