About the role
Administrative AssistantFox Corporation is looking for an organized, proactive, and detail-oriented Administrative Assistant to support senior leaders within our Corporate Finance team. The Administrative Assistant will help keep a fast-moving executive office running smoothly by managing calendars, coordinating travel, processing expenses, supporting key finance meetings, and assisting with operational programs tied to corporate credit cards and subscriptions.You are a strong communicator who can manage shifting priorities, handle confidential information with care, and partner effectively with executives, internal teams, vendors, and employees across the company. You are comfortable working in a highly professional environment where accuracy, follow-through, and discretion matter.A snapshot of your responsibilities includes:Manage complex executive calendars, including scheduling, meeting coordination, and conference room bookingsManage executive document printing, binding, delivery, and other administrative document needsCoordinate domestic and/or international travel arrangements and related logisticsCoordinate representative letter signatures and related documentation workflowsCoordinate with the Corporate Security team on miscellaneous executive and business needsCoordinate company-wide delinquency and credit loss reporting, including cardholder outreach and executive management reportingPrepare, submit, and track executive expense reportsSupport expense report audits to help ensure compliance with company policySupport scheduling for quarterly Finance meetings and the annual budget meeting processAssist with the setup and maintenance of company-wide digital and print subscriptions through a centralized third-party service providerAssist with Corporate Credit Card Program administration, including cardholder procedures and follow-upsHelp ensure cardholder expenses are submitted in a timely mannerReview and process invoices related to digital and print subscription servicesPartner with internal stakeholders and external vendors to resolve administrative, billing, and process-related questionsWhat you will need includes:Administrative or executive support experience in a corporate, finance, media, or similarly fast-paced environmentExperience preparing expense reports and working with corporate card or expense management processesStrong calendar management, scheduling, and travel coordination skillsStrong written and verbal communication skillsStrong organizational skills and a service-oriented mindsetHigh attention to detail and strong follow-throughAbility to manage confidential information with discretionAbility to prioritize competing deadlines and adjust quickly as business needs changeComfort working with executives and cross-functional partnersProficiency with Microsoft Outlook, Word, Excel, PowerPoint, and related business toolsNice to have but not a dealbreaker includes:Experience supporting Finance, Accounting, Treasury, or Corporate Operations teamsExperience with Workday, Concur, or a similar expense management platformExperience coordinating company-wide administrative programs, vendor invoices, subscriptions, or cardholder processesBachelor's degree or equivalent experienceAbout you includes:You are someone who likes being the person others can count onYou stay calm under pressure, keep track of the details, and know how to move work forward without needing constant directionYou enjoy supporting leaders, creating order, and helping teams stay focused on the work that matters mostYou bring sound judgment, professionalism, and a collaborative approach to everything you do.
