Tasks include anything from greeting guests, administrative duties, attending meetings, and facilitating communication between all the various departments. Communicates with hotel guests/vendors, partners, sponsors, etc.Qualifications and Requirements:Essential:Understanding: Ability to read, comprehend and carry out instructions according to established proceduresComprehension: Fluent in the English languageOrganizational Skills: Work efficiently, utilize multi-tasking, prioritize tasksHygiene and Sanitation: Adherence to uniform, grooming, and personal hygiene standards and expectations per SOPsPunctuality: Adherence to posted schedule and arrival time and attendance at mandatory meetings when scheduledResponsibility: Personal comportment in line with Standard, New York policies, standards, and expectationsOrganizational and planning skillsMeticulous attention to detail and eye for accuracyImpeccable discretion and confidentialityExcellent written and oral communication skillsProblem analysis and problem-solving skillsSuperb judgment and decision-making abilityProactive initiative and flexibilityKnowledge of Opera Cloud, Tripleseat, and Envision PreferredDesirable:3 years of experience providing professional office supportProficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and ExcelKnowledge of Opera preferred but not essentialKnowledge of standard office administrative practices and proceduresEssential Job Functions and Responsibilities:Provide support to the Managing Director and the Executive Team of a 338-room Lifestyle boutique hotel with seven food and beverage outlets and 800+employeesPositively represent the MD and enhance the MD's effectiveness by maintaining relationships with internal teamsServe as a liaison between the MD and all hotel departments, guests, clients, and corporate officeManage and maintain Managing Director and the Executive Team's schedule, appointments, and travel arrangementsCommunicate daily activities, allocate time, and coordinate workflow; identify any schedule conflicts and changesBrief and update MD and Executive Team on all issues relevant to the operation of the hotel by attending a variety of department meetingsConfirm and update room and restaurant/bar reservations for GAW Capital and GCPH NY OPCP Representatives; notify Front Office and F&B department headsOffice administration (accounting, office supplies, meeting room requests, showroom requests, sales gift inventory);Maintain Opera Cloud/Tripleseat/Envision databasesAssist with PowerPoint/Keynote PresentationsAssist with Estimates, Purchase Orders, Invoice Processing, Tracking, etc.Proactively execute any tasks required by the Managing DirectorAnswer and manage incoming callsGreet MD and Executive Team's visitors and guests in the lobby; escort and seat in the appropriate outletPartner with the Executive Committee and provide support as an extension of the teamPrepare communications, presentations, and other documentsProcess monthly expense reportsAttend daily morning meetings and provide any relevant updates on behalf of the MDField donation requests for approval and oversee the processing of gift certificates with accountingReceive and route all internal and external employee/friend and family rate requestsInteract with Executive Assistants across The Standard brandRemain the direct on-property contact for the Executive Assistants to the Managing Partner and ChairmanConfirm and update room and restaurant/bar reservations for the Chairman, Managing Partner, Chief Operating Officer, and building owners; notify Front Office and F&B department headsLiaise with Sales Coordinator to provide welcome notes and amenities from the MD for VIP guestsAdvises Human Resources of MD's availability to meet with key candidatesAttend and accompany MD and Executive Team on weekly walk-through of public spaces and guestrooms for quality control initiatives and follow up where necessaryWork with Executive Team to advise MD of negative online reviews which require communication on behalf of or from the MDCompensation:$30.00 - $35.00 per yearExcellent and Affordable Health Care coverageLife Insurance, Disability Insurance, Pet InsuranceUp to 104 hours PTO, 56 hours - Paid Protected Time Off (Sick), 32 hours - Unpaid Protected Time Off, 20 hours Paid Prenatal Leave401k - Company matching up to 2% after 1 yearEmployee Discounts on Rooms, F&B, Retail, and The Standard MarketplaceEmployee Meals, Employee Referral Program, Commuter DiscountsRegular fun staff events and celebrations!
