LOGISTICS ADMINISTRATORPOSITION SUMMARY:
Responsible for coordinating the shipping and routing instructions with domestic mills, managing domestic and international shipments, oversee production testing processes, and process freight, brokerage, and related billing activities. This position works closely with mills, freight carriers, brokers, laboratories, Customer Service, Accounting, Logistics, and other internal teams to ensure orders, shipments, testing, invoicing, and related documentation are processed accurately, efficiently, and on schedule. The role is responsible for maintaining organized records, proactively monitoring and following up on outstanding items, resolving shipment, billing, and documentation issues, and providing reliable operational support to ensure the timely and accurate flow of orders from production through delivery.
WHAT YOU WILL DO: Domestic Mills
Prepare, send, and manage shipping and routing instructions for domestic mills. Review the weekly Pack & Hold Report and follow up on outstanding items. Review and approve mill invoices. Process direct-to-customer billing, including adding applicable truck and carrier charges. Coordinate and manage domestic shipments to the company warehouse, including scheduling and required documentation.
Production Testing & Laboratory:
Coordinate production testing and arrange submission of materials to outside laboratories.
Track testing requirements and follow up to ensure results are received in a timely manner.
Maintain testing results, laboratory reports, certifications, and supporting documentation on the shared drive.
Review and process laboratory invoices for payment.
Mill Shipments & Logistics:
Coordinate and manage warehouse shipments from overseas mills.
Coordinate domestic and international direct-to-customer shipments to the United States.
Handle direct-to-customer billing for China-to-China shipments.
Provide packing lists (P/L), proof of delivery (POD), and other required shipment documentation to Customer Service for direct-to-customer shipments from overseas.
Coordinate with mills, freight forwarders, carriers, and internal departments to ensure shipments are scheduled and delivered on time.
Monitor shipment status, delivery dates, and outstanding transportation documentation.
Follow up with mills, carriers, and logistics partners to resolve delays or shipment issues.
Brokerage & Freight Invoicing:
Receive, review, and process brokerage invoices.
Review airfreight and trucking charges to ensure all applicable costs are accurately billed to customers.
Process trucking and UPS invoices.
WHO YOU ARE AND WHAT YOU BRING:Strong organization and time-management skills.
Excellent attention to detail and accuracy.
Experience with shipping, logistics, freight, invoicing, or order processing preferred.
Ability to manage multiple shipments, invoices, priorities, and deadlines simultaneously.
Strong communication, coordination, and follow-up skills.
Ability to work effectively with mills, carriers, freight forwarders, brokers, laboratories, customers, and internal departments.
Proficiency with Microsoft Office, email, spreadsheets, and shared document systems.
Ability to review documentation, identify discrepancies, and follow through to resolution.
