Expense Business Manager-📍 Hartford, CT | Hybrid🕐 35 Hours/Week | Exempt-Hybrid-Flexible Schedule (very flexible work-life-balance schedule.)12 holidays /15 days vacation/plus in additional PTO Supports the business administration functions fromaccounts payable and receivables, prepare financial statements to payroll reporting using QuickBooks. QuickBooks Guru! General Ledger, Financial reporting and accounting principals and bookkeeping skillls needed. This is a multi-tasked role with Accounting and Administrative duties: Ensure insurance renewals are up-to-date, obtain quotes from vendors for facility maintenance. Work with fundings from volunteer programs and maintain the lease files. Allocate redistricted and non restricted funds. The position offers an excellent opportunity for someone who enjoys a variety of tasks and likes to work independently, while creating efficient records and streamlining the business processes through enhancing the outdated software systems.
HR Duties: Include timekeeping, payroll and insurance benefits traction. Additional duties:
  • Timekeeping and Payroll and benefits administration for a small size staff
  • Process month close and bank reconciliations, prepare financial statements, budget to actual reports, cash flow, annual budget, audits and financial reviews.
  • Work closely with the finance committee, and board .Help improve accounting processes, systems, and procedures
  • Request and review vendor quotes, compare pricing, estimate labor hours, and calculate associated costs to ensure accurate project estimates and cost efficiency.
  • Provide administrative and operational support to leadership and staff
  • Maintain a high level of confidentiality and accuracy with financial and personnel matters
Tasked with creating standard operating procedures for enhancing file management, and create organizational workflow for office administration efficiency. Work with IT to upgrade software. Prepare and create better communication lines through standard emails, flyers and social media to staff and community members.
Ideal Candidate:
  • 5+ years of any of these Office Administration Support-type roles; Executive Administrator, Office Manager, Bookkeeper, Payroll, OR HR Generalist, Paralegal with financial responsibilities.
  • Experience with QuickBooks accounting software or similar accounting software.
  • Experience with leases, contracts, or property-related financial administration is a plus
  • Highly organized, detail-oriented, and comfortable working in a small-team environment
  • Professional, trustworthy, and able to work independently
  • Non profit background is a plus; understanding of restricted and unrestricted funds
