Job Title: Administrative Assistant III Location: 100% Remote (Denver CO)
Position Summary: Responsible for reviewing substitute tax form submissions for accuracy, identifying discrepancies, and communicating required corrections to vendors. Supports vendor correspondence, research, document management, and modernization pilot testing using Adobe Acrobat Pro and Google Workspace. Maintains accurate records, tracks work progress, and ensures compliance with established standards while handling high-volume tasks with attention to detail.
Key Responsibilities
Vendor Form Submission Review:
  • Visually reviewing substitute tax form submissions for correctness and recording discrepancies and issues for the vendors to fix.
  • The temp will need to evaluate submissions against a set of standards and determine when there are discrepancies and analyze whether any discrepancies are within tolerance or permitted by waiver.
  • Manipulate PDFs using Adobe Acrobat Pro to complete form reviews.
  • Work comfortably with Google Suite tools including Google Mail, Google Docs, Google Sheets, Google Forms, Google Sites, etc.
  • Comply with work tracking and monitoring practices by recording statuses, filing documents electronically, meeting and/or chatting regularly with teammates to update the status of work and adjust assigned tasks as needed.
  • The vendor reviews can be repetitive and require consistent performance and attention to detail in a high-volume environment; Vendor Research & Correspondence
  • Reading, reviewing, researching, logging, and responding to email correspondence from substitute tax form vendors
  • Answer, redirect, and escalate technical questions from vendors as appropriate to senior staff or subject matter experts
  • Research questions using provided tools and information
  • Support Vendor Modernization Pilot Project
  • Provide testing support in the modernization pilot project
  • Document testing and results
  • May assist the LIST team with other administrative tasks as assigned
  • Required Qualifications and Skill:
  • Strong attention to detail and accuracy in reviewing documents and identifying discrepancies.
  • Proficiency in Adobe Acrobat Pro and Google Workspace applications, including Gmail, Docs, Sheets, Forms, and Sites.
  • Strong analytical, research, problem-solving, and organizational skills.
  • Excellent written communication skills for vendor correspondence and issue resolution.
  • Ability to manage repetitive, high-volume workloads while meeting deadlines.
  • Experience with data entry, document management, recordkeeping, and status tracking.
  • Ability to follow established procedures, evaluate compliance standards, and identify exceptions.
  • Strong teamwork, time management, and adaptability skills.
  • Ability to document testing activities and results and escalate technical questions appropriately.
