About the role

The Maintenance / Shop Help Desk Representative provides administrative support for all mechanical, equipment maintenance, and repair activities within a multimodal transportation terminal or contract logistics site. They are the central point of contact for maintenance requests, vendor coordination, work order tracking, and communication flow between operations, technicians, and leadership. They ensure maintenance processes run smoothly, documentation is accurate, and issues are escalated appropriately. With strong computer skills and a proactive mindset, they help keep the facility operating safely and efficiently. Compensation:  $24.00- 26.00 per hour
Schedule: Wednesday, noon - 6 PMThursday, Friday, and Saturday 6 AM - 6PM
Responsibilities: Serve as the first point of contact for maintenance requests, troubleshooting inquiries, and service needs from operations and facility staff. Create, assign, and track work orders for equipment repair, preventive maintenance, and vendor service calls. Coordinate scheduling and communication between internal maintenance teams, external contractors, and site leadership. Maintain logs, spreadsheets, or system inputs related to equipment status, work order progress, and service histories. Monitor and prioritize incoming work requests via email, phone, ticketing systems, or maintenance platforms (AS400, CMMS, etc.).Follow up on work orders to ensure timely completion and escalate delays or issues as needed. Assist with inventory tracking for repair parts, supplies, and consumables. Update maintenance dashboards, reports, and KPIs for leadership as required. Provide professional, responsive customer service to internal stakeholders and external partners. Support compliance, safety, and audit requirements by maintaining organized and accurate records. Help prepare purchase requests, vendor quotes, and basic procurement documentation. Maintain a tidy and organized workspace for maintenance documentation and shared tools or systems. Collaborate with operations, safety, and facilities teams to support site-wide maintenance needs. All other duties as assigned to meet evolving business needs.
Qualifications
Education: High School diploma or GED preferred, but not required. Strong customer service skills and a professional communication style. Excellent organizational skills with the ability to manage multiple requests simultaneously. Strong data entry and typing skills with the ability to navigate multiple apps simultaneously. Ability to learn site‑specific maintenance or ticketing software. Problem‑solving mindset with attention to detail and accuracy. Demonstrated discretion and confidentiality in handling and protecting sensitive information. Technical: Proficient with common office technologies, including Windows PCs, Microsoft O365 (Outlook, Word, Excel, Power Point, etc.) and web conferencing (Teams, Zoom, Webex, etc.).Environment: Comfort commuting to/from and working in a 100% on‑site setting (listed in this posting), with travel for related meetings/events.
