About the role

Project AdministratorThis position supports the core project team within Office Services. It acts as the liaison among the core team and project vendors to ensure accurate sharing of information. Maintaining and sharing documents via an organized Teams site will provide easy access to current information for the project team. As safety is paramount to the project success, this position will work with vendors to ensure safety training is accessible and complete before starting onsite work. This position coordinates schedules and communication along all levels of the organization, creating seamless access to accurate information.Principal Accountabilities:Liaison with similar positions with various project and trade vendors: compare meeting notes, review vendor-created action items, share internally as needed, etc. 35%Create, maintain, and organize documents on internal Teams site, including but not limited to meeting minutes, action logs, GANTT charts, internal & external schedules. 30%Coordinate contractor setup and safety training in Avetta. Follow up for accurate and timely completion and communicate readiness for access. 20%Schedule meetings, share meeting agendas, and accurate data entry. 10%Perform miscellaneous job-related duties as assigned 5%Required Education, Experience, Skills:Associate Degree or Relevant Certificate(s) 2+ years project administration and/or coordination experience Outstanding communication skills Organizational skills, attention to detail and follow-up Ability to work independently and self-initiate Ability to problem solve Intermediate computer skills with specific knowledge of MS Office Product Suite, including MS Project Strong verbal and listening skillsPreferred Education, Experience, Skills:Bachelor Degree 3+ years project administration and coordination experience Experience with integrated project plans and schedules Expert user of MS Office Product Suite, including MS Project Experience with Clarizen application Experience with Avetta application
