About the role
Abrasive Waterjet of Indiana is seeking an Office Assistant to join our team. Must have Microsoft Windows, Word, Outlook, Excel, and QuickBooks essential program knowledge. In this role, you will be the first and main point of contact for all our customers via in person, over the phone or e-mail. This person will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include, but is not limited to, production scheduling, creating work orders, creating and sending invoices, issuing purchase orders, accounts receivables, material ordering, negotiating with vendors, maintaining office equipment and keeping the office areas clean and tidy. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures. Must be able to read a ruler. AutoCad knowledge a plus but not required.
Responsibilities Office administration
Customer Service: Greet all customers in a friendly and professional manner
Check for mail in the mailbox daily
Maintain calendar of appointments and meetings
Work order entry and managing work order file folders
Material ordering
Product shipment- UPS, FedEx, LTL, Courier
Receive incoming packages and shipments
ISO quality system audit assistant
Accounts receivables
Collaborate with human resources to create, update, and maintain office procedures
Maintain office equipment in good working order with the assistance of the IT company if necessary
Processing credit card, cash or check payments
Negotiate contracts and pricing with vendors and service providers
Accurately maintain general office budget
Create and maintain office and shop supply list. Collaborate with management for re-ordering.
Keep all office areas and break room clean and tidy
End of year office clean up- packing up customer files and preparing new files

Qualifications High school diploma/GED required, some college preferred
Previous experience as an Office assistant or similar position required
Understanding of office equipment, systems, and procedures
Skilled in Microsoft Office, Excel, and Outlook
Must have QuickBooks knowledge
Must be able to read a ruler
Excellent time management skills and ability to prioritize multiple tasks
Strong problem-solving skills and attention to detail
Excellent verbal and written communication skills
