About the role

Studio Coordinator A leading global design and architecture firm is seeking a highly organized, energetic, and service-oriented Studio Coordinator to support a talented team of architects and designers. This role is ideal for someone who thrives in a fast-paced, creative environment and enjoys being the person who keeps everything organized, connected, and running smoothly. The Studio Coordinator will provide high-level administrative and operational support to Studio Principals, Directors, and project teams while also helping foster a strong studio culture.
Key Responsibilities:
  • Manage complex calendars for Studio Principals and leadershipCoordinate detailed domestic and international travel arrangements
  • Schedule meetings, prepare correspondence, and process expense reports
  • Support studio operations, including staffing coordination, financial tracking, timecards, PTO tracking, and meeting organization
  • Assist with proposal and presentation preparation
  • Process, edit, and proof client and consultant contract documents
  • Support project teams with RFIs, submittals, project directories, project setup, and meeting notes
  • Coordinate internal and external meetings, including conference rooms, agendas, catering, and guest reception
  • Plan studio outings, retreats, celebrations, and other culture-building events
  • Maintain professional licenses and memberships for leadershipCoordinate project archiving
  • Partner with other administrative departments to ensure smooth studio operations
  • Provide occasional reception coverage and back-up support to other Studio Coordinators
Qualifications:
  • Minimum 5 years of professional administrative experienceExperience supporting senior-level professionals or executives
  • Strong calendar management and scheduling experienceExperience booking domestic and international travel
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple priorities
  • Professional and comfortable interacting with leadership, clients, consultants, and vendors
  • Strong problem-solving skills and a proactive, team-oriented approach
  • Ability to work independently with minimal supervision
  • Proficiency with Microsoft Office, including SharePointAdobe Creative Suite and/or InDesign experience is a plus
  • Flexibility to work overtime as needed
