This individual will oversee front desk operations, support administrative tasks, and assist various departments with daily activities. The ideal candidate will have excellent organizational and communication skills, a professional demeanor, and a proactive approach to problem-solving.Key Responsibilities:Front Desk Operations Serve as the primary point of contact for visitors, clients, and vendors, providing a professional and welcoming experience.Answer, screen, and direct incoming calls and emails to the appropriate departments.Maintain the reception area, ensuring it is clean, organized, and representative of the company's brand.Office Management Oversee general office operations, including ordering and maintaining supplies, coordinating repairs, and managing office equipment.Ensure meeting rooms are clean, stocked, and prepared for scheduled use.Assist in scheduling and coordinating office events, meetings, and appointments.Assist the Office Manager/Executive Assistant in managing the corporate office and performing administrative tasks as needed.Perform other duties and projects as assignedAdministrative Support Provide administrative assistance to various departments, including filing, data entry, and document preparation.Manage incoming and outgoing mail, packages, and courier services.Assist with onboarding new employees by preparing workspaces and managing access credentials.Recordkeeping and Reporting Maintain and update office records, directories, and databases with accuracy.Track and reconcile office expenses, providing reports to management as needed.Monitor and report on office inventory levels to ensure supplies are adequately stocked.Customer and Vendor Coordination Act as a liaison between the company and clients, vendors, and external partners.Address inquiries and resolve issues promptly, ensuring high levels of customer satisfaction.Coordinate with vendors for office-related services and supplies.Compliance and Safety Ensure adherence to company policies, procedures, and safety standards within the office.Conduct regular checks of common areas to maintain a safe and functional work environment.Qualifications:High school diploma or equivalent; additional education or certifications in office administration or related fields is a plus.2+ years of experience in office administration, front desk operations, or a similar role.Experience in the homebuilding or construction industry is a plus but not required.Skills:Organizational Skills: Ability to prioritize tasks, multitask, and manage time effectively.Communication Skills: Excellent verbal and written communication skills with a professional demeanor.Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment.Customer Service: Strong interpersonal skills with a focus on providing exceptional service to visitors and employees.Problem-Solving: Ability to identify and resolve office-related issues efficiently and independently.Attention to Detail: High level of accuracy in managing records, data entry, and correspondence.Physical Requirements:Ability to sit, stand, and walk for extended periods as needed.Capability to lift and carry office supplies or packages weighing up to 25 lbs.Frequent use of a computer and other office equipment such as phones, copiers, and printers.
