About the role
Position Summary:
The Sales Order Entry Specialist is responsible for accurately and efficiently processing customer orders from receipt through entry into the company's ERP/order management system. This role requires excellent attention to detail, strong computer proficiency, and the ability to work independently in a fast-paced environment. The ideal candidate is a self-starter with a strong work ethic who takes ownership of the order entry process and ensures accuracy and timeliness at every step.
Key Responsibilities:
- Accurately enter customer purchase orders into the ERP/order management system in a timely manner
- Review orders for completeness and accuracy, including pricing, quantities, part numbers, shipping terms, and delivery dates
- Verify order details against customer purchase orders, quotes, and contracts to ensure consistency
- Communicate with customers, sales representatives, and internal departments to resolve order discrepancies or missinginformation
- Track order status and proactively follow up on outstanding or delayed orders
- Maintain accurate and organized records of orders, confirmations, and related correspondence
- Process order changes, cancellations, and returns according to company policy
- Coordinate with production, shipping, and accounting departments to ensure orders are fulfilled correctly and on schedule
- Generate order confirmations and provide accurate lead-time information to customers
- Assist with monitoring inventory availability as it relates to order fulfillment
- Identify and report recurring issues or process inefficiencies to management
- Support month-end and reporting activities related to order entry and sales data as needed
- RequiredQualificationsHigh school diploma or equivalent required; Associate degree preferred 1-3+ years of experience in order entry, sales support, customer service, or a related administrative role
- Strong computer skills, including proficiency with Microsoft Office (Excel, Word, Outlook) and experience with ERP or order management software
- Exceptional attention to detail and accuracy in data entry
- Strong work ethic with a demonstrated ability to work independently as a self-starter
- Excellent organizational and time-management skills, with the ability to prioritize and manage multiple orders simultaneously
- Strong written and verbal communication skills
- Ability to work effectively in a fast-paced, deadline-driven environment
- Problem-solving skills with the ability to identify and resolve order discrepancies
- Dependable, punctual, and able to maintain confidentiality of customer and company information
- Positive, professional, and customer-focused attitude
- Ability to work collaboratively with sales, production, shipping, and accounting teams
Preferred Qualifications:
- Experience in a manufacturing, industrial, or technical products environment
- Familiarity with ERP systems such as SAP, NetSuite, Epicor, or similarz
- Basic understanding of pricing structures, sales tax, and shipping/freight terms
- Typing speed and data -entry accuracy above average benchmarks

This position is primarily office-based, with regular use of a computer and phone. Occasional interaction with production and warehouse areas may be required to coordinate order fulfillment.
