This role serves as the primary point of contact for users requiring assistance with vital records platforms and related systems. Location: Oklahoma City, Oklahoma
Schedule: Full-Time | Monday-Friday onsite
Contract Duration: 6-12 Month Contract with Potential Extension
Key Responsibilities: Serve as the primary contact for help desk inquiries related to vital records systems, applications, and operational processes. Provide exceptional customer service and frontline support to internal staff and external stakeholders. Respond to requests involving system access, user support, onboarding, offboarding, training, and workflow assistance. Investigate, troubleshoot, and resolve user issues while escalating complex matters when incoming requests and ensure timely resolution, follow-up, and training activities, scheduling, educational resources, and post-training support. Collaborate with cross-functional teams to identify documentation gaps and improve operational processes. Assist in developing user guides, process documentation, webinars, training materials, and reference resources. Participate in software testing, system enhancement reviews, and quality improvement findings, recommend solutions, and contribute to continuous process improvement efforts. Support compliance initiatives related to data quality, reporting accuracy, and records integrity. Assist leadership with administrative projects, reporting activities, and program support functions. Maintain current knowledge of system functionality, workflows, and operational procedures. Contribute to special projects focused on service delivery, efficiency improvements, and stakeholder support.
Required Qualifications: Bachelor's degree or equivalent combination of education and relevant professional experience. Experience in customer service, administrative support, help desk operations, technical support, records management, healthcare support, or program troubleshooting and problem-solving abilities. Excellent organizational skills with strong attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. Proficiency with Microsoft Office Suite and online systems. Ability to work effectively with internal teams, external customers, and stakeholders.
Preferred Qualifications: Bachelor's degree in Public Health, Health Information Management, Healthcare Administration, Business Administration, or a related field. Experience providing help desk support, technical assistance, or application support. Knowledge of records management, document processing, health information systems, or public health creating training materials, procedural documentation, or user guides.
