About the role
Sea Trade International Inc., a subsidiary of COSCO SHIPPING (North America) Inc., is seeking a detail-oriented professional to join our team in an onsite role based in Secaucus, NJ, supporting key sales and documentation functions. Key Responsibilities include but are not limited to: Contract Filing Maintain and organize all carrier contract records, including Service Contracts (S/C), amendments, rate agreements, and related supporting documents. Ensure newly approved contracts and amendments are filed promptly and accurately in the appropriate system or shared folder. Ensure all contracts and rate agreements are properly maintained, easily accessible, and consistent with the rates being quoted and applied to shipments. Coordinate with Sales, Pricing, and Management to obtain missing or updated contract information. Ensure the latest version of each contract or amendment is maintained and outdated versions are properly identified. Quotation Prepare and issue customer quotations based on approved contracts, tariff rates, market conditions, and customer requirements. Verify ocean freight rates, applicable surcharges, origin/destination charges, documentation fees, and other applicable charges before sending quotations. Coordinate with Pricing, Sales, and Operations when special rates or exceptions are required. Provide accurate, competitive, and timely quotations while supporting revenue growth and increasing quotation-to-booking conversion. Sales Reporting Prepare the monthly sales report accurately and within the required reporting deadline. Collect and consolidate sales data from OCS and other applicable systems. Prepare sales performance reports by salesperson, customer, trade lane, commodity, contract, and other required categories. Maintain historical monthly reports for management review and future comparison. Assist management in preparing quarterly, half-year, and annual sales performance reports. Provide management with accurate and timely sales information to monitor performance, identify business opportunities, and make informed decisions. FMC Rate Filing Support the preparation and filing of required Service Contract (S/C) information with the Federal Maritime Commission (FMC).Sales Meeting Minutes Attend and support weekly/monthly sales meetings and record meeting minutes. Document key discussion points, sales performance updates, customer issues, market conditions, and management instructions. OBL Printing Coordinate and process Original Bill of Lading (OBL) printing requests in accordance with company procedures. Verify that the OBL has been properly approved and that all required information is complete before printing. Ensure OBLs are printed within the required customer or operational deadline. Ensure OBLs are printed accurately and released on time while maintaining proper document control and minimizing the risk of documentation errors.
