Job Description: Office Administrative Assistant Keepsake Quilting
Position Summary:
Keepsake Quilting is seeking an organized and dependable Office Administrative Assistant to support the day-to-day administrative and operational needs of the business. This position will work with multiple departments and help keep routine office, product, inventory, and vendor-related tasks organized and moving forward. This is primarily an administrative support role with some aspects of purchasing related activities.
Responsibilities:
Provide general administrative support to the Keepsake Quilting team. Assist with reordering established kits, products, and supplies as inventory requires and as directed by management. Help track inventory needs, open orders, backorders, and incoming merchandise. Communicate with vendors regarding routine order information, availability, quantities, and delivery timing. Maintain spreadsheets, reports, product information, and other internal records. Enter and update information in company systems accurately and promptly. Assist with purchase orders, invoices, paperwork, and other routine documentation. Coordinate with merchandising, warehouse, customer service, marketing, and accounting as needed. Help follow up on outstanding items and make sure administrative tasks do not fall through the cracks. Assist with product and kit-related administrative work, including maintaining information and helping coordinate replenishment of existing items. Answer or route routine internal and external questions to the appropriate person. Provide additional office and operational support as needed.
Qualifications:
Strong organizational skills and attention to detail. Comfortable working with spreadsheets, email, and basic office software. Ability to manage multiple tasks and follow up on outstanding items. Good written and verbal communication skills. Dependable and able to work independently while also supporting a team. Experience in office administration, purchasing support, inventory, retail, or e-commerce is helpful but not required.

The ideal candidate is organized, detail-oriented, comfortable handling a variety of administrative responsibilities, and willing to jump in wherever needed. This person does not need to be a merchandiser or buyer but should be comfortable working with products, inventory, vendors, and internal teams in a fast-moving retail environment.
