About the role

Receptionist & Office Services Clerk This position will support providing front desk, reception, switchboard, mailroom, and general administrative support in a professional office environment. The ideal candidate will have prior mailroom/shipping and receiving experience, strong customer service skills, and experience using Microsoft Office. The role requires handling USPS, Client, Fed Ex, Staples, and other deliveries, monitoring meeting schedules, assisting visitors, and maintaining conference room and Service Center supplies.
Key Responsibilities: Monitor emails and respond to requests related to building or system access. Receive, sort, organize, and distribute incoming USPS mail, Client, Fed Ex, Staples, and other packages. Prepare and handle outgoing mail and packages as needed. Respond to employee and client questions regarding packages, deliveries, and shipments. Track and coordinate incoming and outgoing shipments and deliveries. Monitor the Outlook calendar for meetings and conference room reservations. Create and post conference room signs for meetings scheduled for the following day. Ensure conference room signs are prepared and posted by 2:00 PM on the previous business day, including Meeting Title, Host, and Time. Greet clients, visitors, and employees in a professional and courteous manner. Operate and assist with the telephone/switchboard and route calls appropriately. Use an iPad scanner and computer systems to complete daily administrative tasks. Use Microsoft Office Suite, particularly Word and Excel, for routine office support. Maintain adequate supplies in the Service Center, including paper, Client supplies, and other office materials. Monitor inventory levels and replenish supplies when necessary. Change printer toners, add ink, and replenish paper as needed. Assist with general clerical and administrative duties as assigned. Maintain an organized, professional, and customer-focused reception and mailroom area. Handle confidential or sensitive mail and information appropriately. Work effectively with clients, employees, vendors, delivery personnel, and team members.
Required Qualifications: High school diploma or equivalent. 1+ year of prior switchboard or receptionist experience. Prior mailroom, shipping, and receiving experience preferred. Hands-on experience with USPS and Client; experience with Fed Ex and other carriers is a plus. Proficiency with Microsoft Office Suite, especially Word and Excel. Strong verbal and written communication skills. Excellent organizational and customer service skills. Ability to work independently as well as in a team environment. Ability to manage multiple tasks and changing priorities. Professional appearance and courteous communication with clients and visitors. Ability to lift and carry packages weighing up to 50 pounds. Role is primarily sedentary but requires regular walking, standing, bending, reaching, lifting, and carrying. Ability to handle mail, packages, office supplies, and other materials.
