Location: United States Categories: Communication, Partnerships, Programme Management, Administration, Executive Management Under the supervision of a head of office, the Executive Associate is accountable for procedural communications, operations, and administrative support services, as well as specialized administrative functions, to enhance the smooth running of the supervisor’s day‑to‑day activities. The Executive Associate also represents the supervisor in initiating, following up on, and resolving issues pertaining to administrative requests.
Key Responsibilities: Communications support: manage incoming/outgoing correspondence, communicate sensitive information, draft responses, coordinate responses, follow up on deadlines. Administrative support: maintain supervisor’s calendar, organize official travel, prepare briefing materials, prepare documentation for signature. Operations support: arrange logistics for capacity development, maintain staff absence system, manage supplies and inventory. Budget monitoring support: support budget revision/preparation, monitor financial expenditures, maintain records, process grants in VISION.Procurement support: guide managers on PCA/SSAs, facilitate contracts for consultants, maintain vendor lists.
Minimum Requirements
Education: Completion of secondary education, preferably supplemented by relevant technical or university courses.
Work Experience: At least 6 years of relevant experience in Administration, Executive Management, Programme Management, Communications Support, Executive Support, Administrative Support, Operations Support, Budget Monitoring Support, Procurement Support or related fields.
Skills: Executive support, administrative coordination, calendar management, operational support, budget monitoring, knowledge of UNICEF systems.
Language: Proficiency in English. Desirable Knowledge of another UN official language (Arabic, Chinese, French, Russian or Spanish).Experience at country level in development, fragile settings or humanitarian contexts. Additional skills such as confidentiality, executive drafting, multicultural awareness, Share Point.
