About the role
- Ensures the delivery of quality care by effectively coordinating the transmission and receipt of medical records in accordance with the Health Insurance Portability and Accountability Act (HIPAA).Essential Job Responsibilities / Functions
- Medical Records
- Process and fulfill medical records requests from patients, healthcare providers, clinical staff, attorneys, insurance companies, and authorized agencies, coordinating with the Health Information Management (HIM) Department as needed.
- Verify that a valid, signed Authorization of Release of Information (ROI) is obtained and completed before releasing or copying patient medical records.
- Retrieve, print, copy, and prepare medical records from electronic medical records (EMR) systems in accordance with organizational policies, HIPAA requirements and applicable privacy regulations.
- Maintain accurate documentation of all medical record requests, releases, requirements, and applicable privacy regulations.
- Prepare and complete charge sheets for applicable medical records requests.
- Access and apply appropriate copying and postage fees for requests from attorneys, State of Alaska agencies, disability claim representatives, insurance companies, and other authorized entities.
- Forward completed charge sheets and copies of signed release forms to the Billing Office for processing and record retention.
- Upload and submit cancer care information and supporting documentation to the State Cancer Registry in accordance with reporting requirements and established deadlines.
- Gather paper medical records from the clinic each day for scanning and electronic filing.
- Complete all required printing, copying, and mailing of requested medical records in a timely and accurate manner.
- Perform other duties as assigned.
