Sales And Marketing CoordinatorThe Sales and Marketing Coordinator supports the Sales team's day-to-day operations and marketing efforts to promote one of Dallas' most iconic landmarks to meeting planners, event producers and industry stakeholders. The person in this role will contribute to the organization's objectives by working collaboratively with team members to execute programs with excellence.Role and Responsibilities Overview:Enter, review and assign sales leads accurately and in a timely mannerGenerate reports, searches, and update data in sales databasesAnswer inquiries efficiently and professionally with a confident, positive attitude and pleasant personalityCreate, proof, edit, and deliver accurate, polished proposals, documents and departmental communications, and presentations for the Sales DivisionCoordinate team meetings and activities including preparing agendas and supporting documents, assisting presenters with their meeting needsCompile and distribute meeting minutes along with follow-up action itemsPartner with Fair Park management and service teams on client engagement and services for business bookingsSupport graphic design and production efforts for sales and marketing materials, including collateral, digital campaigns, presentations, and proposalsUpdate Meetings & Events section of Fair Park website in collaboration with the Fair Park teamAssist team in the production and organization of high-quality photo and video asset libraryAssist team to develop, implement and maintain a Digital Asset Management systemProvide digital marketing support including social content and email marketing effortsEnsure all marketing materials adhere to established brand standardsAssist with coordinating events including but not limited to familiarization tours, travel arrangements, sales calls and tradeshows. Prepare sales kits, gifts, and reservationsObtain and organize needed sales marketing pieces from third-party entities and maintain an organized filing to ensure correct and current data is maintainedAdditional Responsibilites:Support cross-functional marketing needs and special projects as directedAssist in tracking and reporting metrics as neededFoster positive relationships with vendors, suppliers and other stakeholdersOther tasks as assignedExpected Competencies, Performance Attributes and Characteristics:High computer proficiency, with expertise in Microsoft Office Suite, CRM database systems and cloud-based collaboration toolsFamiliarity with digital marketing channels and web content management systems (CMS)Basic knowledge of graphic design tools like Adobe Photoshop or CanvaStrong aptitude for learning new technology tools and software quicklyExceptional organizational and time-management skills, with the ability to prioritize and multitask effectively in a fast-paced environmentProactive problem-solving skills, with the ability to take initiativeExcellent verbal and written communication skills and strong interpersonal skills, with the ability to interact professionally with internal teams, stakeholders, vendors and clientsDetail-oriented with a high degree of accuracy in all aspects of work, from reporting to document creationTeam player who works well independently and collaboratively, bringing flexibility, dependability, and accountability to shifting departmental needsDesired Education and Experience:Minimum two years of professional office experience, with at least one year directly in a sales support or marketing role; experience in tourism, hospitality, or destination marketing strongly preferredProficiency with core business programs and cloud-based tools (Office 365, SharePoint, OneDrive, Zoom, Adobe Sign) required; proficiency with Destination-specific systems (Simpleview CRM, Monday.com, Cvent, EventsForce, SendSites, Threshold 360, Mint+, Lexion) is a plusSecondary education or certification in a related field is a plusWork Environment and Physical Demands:The person in this role will operate in an office environment located at Fair Park with frequent and consistent use of a laptop computer, monitor, keyboard, mouse, cell phone and other related equipment. It is mostly a sedentary role with extended working time sitting. There may be occasions working at off-site locations where the environment will vary. Exertion of force and the ability to lift and carry up to 25 pounds occasionally, and 10 pounds frequently is required. Bending, twisting, stooping and reaching above and below shoulder height is required.Expected Hours of Work:This is a full-time position with an expectation of 40 + hours of work each week. The regular office hours are Monday through Friday 8:30am to 5pm. Evening and weekend work and participation in events that occur outside of the regular office hours is expected occasionally.Expected Travel:The person in this role can expect up to 10% local travel (within the Dallas area) and may be required to travel on occasion outside of Dallas and the immediate driving area to attend industry meetings, conferences, and other events.
