This is an exciting opportunity to become the face of a well-established construction company while working closely with executive leadership and key business stakeholders.As the Front Office Administrator, you'll play a critical role in keeping daily operations running smoothly, providing exceptional customer service, supporting company events, and partnering directly with the executive team on administrative and coordination activities. This position offers valuable exposure to senior and C-suite leadership while serving as a key point of contact for employees, visitors, and vendors.Key Responsibilities:Serve as the first point of contact by answering and directing incoming phone callsGreet employees, clients, vendors, and visitors in a professional and welcoming mannerManage office supply and breakroom inventory, ordering materials as neededCoordinate employee lunches, meetings, celebrations, and company eventsReceive, sort, scan, and distribute incoming mail and packagesCoordinate outgoing shipments through carriers such as FedEx and UPSManage office equipment needs, including printer, scanner, and document shredding supportProcess and organize receipts and expense documentation within ConcurSchedule and maintain conference room calendars and meeting spacesTrack and distribute office keys and access itemsProvide administrative support to executive leadership, including: Calendar management Travel coordination Hotel reservations Meeting preparation Ordering and logistics support General executive assistanceSupport special projects and additional administrative initiatives as assignedRequirements:Spanish fluency is highly preferred3+ years of administrative, office coordination, front desk, or office management experienceStrong organizational skills and exceptional attention to detailPositive, professional, and customer-service-oriented attitudeExcellent verbal and written communication skillsAbility to effectively interact with executives, employees, vendors, and customersStrong multitasking and prioritization skills in a deadline-driven environmentAbility to work independently while contributing to a collaborative team cultureProfessional judgment and discretion when handling confidential informationWillingness to take on new responsibilities and support business needs as they ariseHigh school diploma or equivalent preferredSkills & Experience:Proficiency with Microsoft Office applications, including Outlook, Word, and ExcelExperience managing calendars, scheduling, or administrative coordinationStrong time management and follow-through skillsExperience supporting multiple departments or senior leaders is a plusFamiliarity with expense reporting systems such as Concur is helpfulBenefits:Competitive hourly compensation based on experienceComprehensive medical, dental, and disability coverage401(k) retirement planEmployee benefit programs and additional company-sponsored offeringsOpportunity for long-term career growth and professional developmentDirect exposure to executive leadership and cross-functional business operations
