About the role

Office AdministratorThe Office Administrator is responsible for ensuring the smooth day-to-day operation of the office by managing front desk reception, office services, facilities coordination, and administrative support. This role serves as the first point of contact for visitors and provides critical support to internal teams, working closely with the Executive Assistant to the CEO. This position requires a proactive, organized, and service-oriented professional who can manage multiple priorities while maintaining a positive and professional office environment.Key ResponsibilitiesGreet and assist visitors, clients, and vendors in a professional and welcoming mannerAnswer, screen, and direct incoming phone callsManage conference room scheduling and front office appearanceOffice Operations & FacilitiesCoordinate office maintenance, repairs, and vendor services (cleaning, building management, etc.)Monitor and maintain office supply inventory; place orders as neededManage incoming and outgoing mail, packages, and deliveriesSupport office organization and ensure common areas are well maintainedAdministrative SupportProvide clerical and administrative support to internal departmentsAssist with document preparation, filing, data entry, and reportingSupport meeting logistics (room setup, materials, catering coordination)Partner closely with the Executive Assistant on office-related initiatives and executive support tasksAdditional DutiesHelp coordinate company events, meetings, and office activitiesAssist with ad hoc projects as neededSupport onboarding logistics for new hires (workspace setup, supplies, coordination)Qualifications Required3-5 years of experience in an administrative, office support, or receptionist roleProficiency in Microsoft Office (Outlook, Word, Excel, Teams)Strong organizational and multitasking skillsExcellent verbal and written communication skillsProfessional demeanor and strong customer service orientationAbility to work onsite Monday through FridayPreferredExperience supporting office operations or facilities coordinationExperience working in a corporate or professional services environmentAssociate or Bachelor's degree (preferred but not required)Key CompetenciesDependability and accountabilityAttention to detailInitiative and problem-solvingStrong interpersonal and collaboration skillsCompensationSalary Range: $22$28/hourBenefits: Health (medical, dental, vision) insurance, short and long-term disability, 17 days of paid time off (PTO), and 401(k) matching.Why Join UsVisibility to executive leadershipOpportunity to own and improve office operationsCollaborative and professional work environment
