Learn more at www.pcsresearchgroup.com.Position SummaryPCS Research Group is seeking a highly organized, service-oriented administrative professional to lead our client support and service function. This individual will manage institutional account relationships, coordinate conference calls, and ensure clients receive timely notification of high-conviction investment ideas. The role requires strong judgment, exceptional follow-through, and the ability to work constructively across research, sales, marketing, finance, and recruiting activities. This role requires full-time in-office presence five days per week.
Key Responsibilities:
  • Manage client support and service across approximately 300 accounts, establishing dependable workflows, service standards, and follow-up processes.· Manage day-to-day client relationships and respond promptly and professionally to client requests.· Schedule and coordinate conference calls among clients, investment analysts, and internal team members.· Notify clients of timely, high-conviction investment ideas and other relevant research updates.· Maintain accurate client records, contact information, distribution lists, schedules, and related documentation.· Partner with investment analysts and the sales and marketing teams to support client engagement, account retention, and business development.· Assist with the design, production, and procurement of marketing and sales materials.· Manage and update website content, coordinating with internal stakeholders and outside providers as needed.· Compile and summarize the firm-wide sales pipeline, highlighting key opportunities, status changes, and required follow-up.· Manage vendor relationships, including coordination, service review, and administrative oversight.· Support billing and collections by maintaining accurate records, issuing follow-ups, and coordinating the resolution of account questions.· Periodically schedule candidate interviews, maintain interview calendars, and communicate professionally with applicants throughout the hiring process.· Identify opportunities to streamline administrative processes, improve internal coordination, and increase operational efficiency.
Qualifications:
  • Proven experience in client service, account coordination, office administration, operations, or a related role.· Excellent organizational skills and close attention to detail, with the ability to manage multiple priorities and deadlines.· Clear, polished written and verbal communication skills and a strong client-service orientation.· Comfort working in a fast-paced environment and shifting between strategic priorities and hands-on administrative tasks.· Demonstrated discretion when handling confidential client, financial, and candidate information.· Ability to collaborate effectively with investment professionals, sales teams, marketing partners, vendors, and job candidates.· Sound judgment, initiative, reliability, and a diligent, constructive approach to problem-solving.· Proficiency with standard business productivity tools, calendars, spreadsheets, presentations, and contact or customer relationship management systems.· Experience in financial services, investment research, or another professional-services environment is preferred.
