ReceptionistJob OverviewThe Receptionist will be responsible for operating a multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties.Roles & ResponsibilitiesWelcome on-site visitors, determine nature of business, and announce visitors to appropriate personnelMonitor visitor access and issue passes when requiredRetrieve messages from voicemail and forwards to appropriate personnelAnswer incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or departmentTake and deliver messages or transfers calls to voicemail when appropriate personnel are unavailableAnswer questions about organization and provides callers with address, directions, and other informationReceive, sort, and route mail, and maintain and route publicationsMaintain fax machines, assist users, send faxes, and retrieve and route incoming faxesCreate and print fax cover sheets, memos, correspondence, reports, and other documents when necessaryFiling, photocopying, and collatingOther duties as neededQualificationTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties, responsibilities and activities may change or be assigned at any time with or without notice.Education and/ or Experience:High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experiencePrevious multi-line phone experience; 25+ calls per hours; Bi-Lingual (English / Spanish); Voice Mail experienceCertificates, Licenses, Registrations:May be required to have a valid driver's licenseKnowledge, Skills, and Abilities:Ability to read and comprehend simple instructions, short correspondence, and memos; write simple correspondence; effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organizationTo perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software.Supervisory ResponsibilitiesThis position has no supervisory responsibilities.Physical Demands & Work EnvironmentThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
