About the role
The Axel Group is seeking an Administrative Assistant for our client's team. This role supports daily office operations and administrative functions, helping keep the office organized and running smoothly while assisting with communication, documentation, and financial data entry. ResponsibilitiesAnswer incoming phone calls Place and manage purchase order calls Manage subcontractor emails and documentation, including COIs, W-9s, and related subcontractor paperwork Scan, file, and maintain paperwork, including payment files, change orders, and subcontractor documentation Order and maintain office supplies to keep inventory stocked Input invoices into QuickBooks Handle incoming mail and route it to the CFO for sorting Open and close the office Receive, log, and track incoming packages Enter timesheets into QuickBooks Assist with planning company events Support material statements (monthly) Assist with fleet maintenance administration Perform additional administrative tasks as needed RequirementsExperience with administrative support tasks in an office environment Proficiency with QuickBooks for invoice and timesheet entry Strong organizational skills with attention to detail (scanning, filing, document management) Professional communication skills for phone and email correspondence Ability to manage multiple tasks and maintain office operations
