Administrative AssistantAmerican Pool specializes in commercial pool management, staffing, maintenance, and repair & renovation, with a focus on safety across the East Coast and select Southwest markets.We are looking for a dependable, organized, and friendly Administrative Assistant to join our team in our Ft. Lauderdale, FL office. This is an important position for someone who enjoys staying busy, helping others, and keeping an office organized and running smoothly.The ideal candidate is a self-starter with excellent communication skills, strong attention to detail, and the ability to manage multiple tasks throughout the day. You will work closely with management, employees, customers, and vendors, helping with the day-to-day administrative needs of the company.Key ResponsibilitiesAnswer and direct incoming phone calls in a professional and friendly mannerProvide administrative support to management and staffEnter and maintain data accuratelyPrepare emails, correspondence, forms, reports, and other documentsMaintain organized electronic and paper filing systemsAssist with scheduling, meetings, and day-to-day office needsMaintain customer and vendor contact informationPrepare and track reports and paperworkOrder office supplies and assist with vendor communicationsProcess and reconcile expense reportsAssist customers and vendors with questions and requestsHelp maintain office policies and proceduresPerform general administrative and clerical duties as neededWork as part of a team to ensure the office operates efficientlyQualificationsPrevious administrative or office experience preferredExcellent written and verbal communication skillsStrong organizational and time-management abilitiesExcellent attention to detailAbility to multitask and prioritize responsibilitiesComfortable working independently and as part of a teamProficient with Microsoft Office, including Word and ExcelComfortable learning new computer programs and office systemsProfessional, dependable, and positive attitudeHigh school diploma or equivalent requiredCustomer service experience preferredSpanish is a plus, but not requiredWe are looking for someone who takes pride in their work, is reliable and professional, and enjoys being the person others can count on.
