About the role

We are seeking a detail-oriented and highly organized Litigation Specialist to support the review, processing, and movement of client accounts. This role will work closely with clients, internal teams, and our network partners to ensure accounts are transitioned efficiently and all required documentation is accurate, complete, and processed in a timely manner. The ideal candidate is comfortable managing multiple accounts simultaneously, reviewing legal and client documentation, communicating with various stakeholders, and following established processes while identifying and resolving issues that may delay an account.
Key Responsibilities: Review affidavits, account documents, forms, and supporting documentation for accuracy, completeness, and compliance with established requirements. Work directly with clients to obtain missing information, clarify documentation requirements, and provide updates throughout the account process. Manage documentation requests from clients and network partners, ensuring requests are properly tracked and addressed. Review incoming documentation and identify missing, incomplete, or inconsistent information. Follow up with clients and third parties to obtain outstanding documents or information. Coordinate account transfers, movements, and related administrative processes from initiation through completion. Maintain accurate records and documentation within internal systems. Monitor account status, outstanding requirements, and pending actions to ensure timely resolution. Communicate account updates and next steps clearly and professionally to clients and internal departments. Research and resolve documentation or account-related issues and escalat complex matters when appropriate. Ensure all client information and documentation is handled confidentially and in accordance with company policies and applicable requirements. Collaborate with internal teams to improve processes, reduce delays, and provide a consistent client experience. Perform additional administrative and operational responsibilities related to client accounts and documentation as needed.
Qualifications: Strong attention to detail and ability to identify discrepancies or missing information. Excellent written and verbal communication skills. Ability to manage multiple accounts, deadlines, and documentation requests simultaneously. Strong organizational and follow-up skills. Comfortable communicating with clients and external partners by phone and email. Ability to interpret and work with affidavits, forms, statements, transfer paperwork, and other account documentation. Strong computer skills and proficiency with Microsoft Office or similar productivity tools. Ability to learn internal systems, workflows, and industry-specific processes quickly. Professional judgment and discretion when handling confidential client information. Experience coordinating with custodians, financial institutions, attorneys, or other external service providers. Experience working in a high-volume, deadline-driven environment.
