About the role
Documentation And Compliance Coordinator Seeking a detail-oriented Documentation And Compliance Coordinator to manage shipping documentation, USDA inspection coordination, and compliance records. This position focuses on accurate data entry, shipment tracking, maintaining Excel spreadsheets, and ensuring all required certifications and paperwork are completed on time.
Required Skills:
Strong attention to detail and data entry accuracy.
Proficiency in Microsoft Excel, including maintaining tracking spreadsheets.
Experience with document management, recordkeeping, or administrative coordination.
Comfortable using web-based applications and government systems.
Strong organizational skills with the ability to manage multiple shipments and deadlines.
Effective communication, follow-up, and problem-solving skills.
Ability to work independently and consistently follow established procedures.
Key Responsibilities:
Manage phytosanitary certification documentation from application through approval and filing.
Prepare and submit required shipping and compliance paperwork through government systems.
Coordinate USDA inspections, including staging shipments and completing inspection forms.
Verify shipment information, including weights, batch numbers, container numbers, and unit counts.
Enter and maintain accurate shipment records in Excel and other tracking systems.
Monitor multiple active shipments and follow up on outstanding documentation.
Maintain organized electronic records for compliance and easy retrieval.
Update spreadsheets used for shipment tracking, reporting, and compliance activities.
Ensure documentation is accurate, complete, and submitted within required deadlines.
Preferred Qualifications:
Experience in shipping documentation, logistics administration, export compliance, or supply chain operations.
Familiarity with USDA inspections or phytosanitary certificates.
Experience maintaining shipment tracking and compliance records.
