About the Role: We’re hiring a Medical Office Manager to oversee the day-to-day administrative operations of our Boca Raton plastic surgery practice. This is a hybrid role with two in-person clinic days each week and a possible third day based on the schedule. On other days, you’ll manage administrative work and prepare the office for upcoming consultations. This is a hands-on role. On clinic days, you’ll manage the front desk, welcome patients, and keep appointments running smoothly. You’ll work closely with the Patient Care Coordinator and clinical team to make sure consultations are prepared, records are organized, and patients understand their next steps.
Responsibilities: • Manage front desk operations on clinic days, including patient check-in and check-out, calls, and routine inquiries.• Oversee the appointment schedule, communicate changes to the team, and coordinate follow-up visits.• Review upcoming consultations and follow up on missing patient photos, medical histories, and forms.• Assist in charting and documenting medical information• Prepare new patient consultation charts, ensuring required paperwork, photos, and medical histories are complete and organized before each appointment.• Make sure schedules, consultation rooms, and supplies are ready before clinic days.• Organize patient photos and simulations for the Patient Care Coordinator.• Assist with consultation documentation and keep patient charts accurate and up to date.• Coordinate with the Patient Care Coordinator and clinical team to resolve scheduling and administrative issues.• Track outstanding administrative tasks and follow through to make sure the office is prepared for the next clinic day.
Qualifications: • At least three plus years of experience in a medical office, surgical practice, or other patient-facing healthcare setting.• Experience managing appointment schedules, patient intake, medical records, and front desk operations.• Strong organization and attention to detail, with the ability to manage several priorities during busy clinic days.• A warm, professional manner with patients and clear communication with clinical and administrative staff.• Comfort handling confidential patient information and learning practice software.• An interest in plastic surgery, aesthetics, and the patient experience.
