We're currently seeking a friendly, detail-oriented, and trustworthy Front Desk & Administrative Specialist to be the welcoming face of our Dallas office and keep day-to-day operations running smoothly. This role is ideal for someone who takes pride in a well-run front office, enjoys interacting with customers and vendors, and is comfortable juggling reception duties alongside broader administrative support. Any experience handling in-office IT support, or helping manage an IT ticketing system, is a plus.
Key Responsibilities
Serve as receptionist — greet visitors, answer phones, and direct phone traffic
Collect and sort daily mail
Keep track of and order office supplies and consumables, ensuring the office is always well-stocked and tidy
Assist in booking travel for staff and executives
Assist in booking meals and catering for meetings and company events
Coordinate with building management on maintenance issues
Assist in planning and running company events
Assist in monitoring and directing incoming departmental requests
Assist in other data collection and reporting, as assigned
Assist assigned department with administrative duties, that may include mailing, compliance, scheduling, or other assigned tasks
Direct assignments of recurring reporting, such as receivables, collections, POs, etc.
Performs other related duties as assigned

Job Requirements
High school diploma or equivalent
Minimum of five years' experience in administrative or support roles
Demonstrated proficiency in Microsoft Office Suite; ability to learn proprietary systems (EMS)
Excellent written and verbal communication
Strong organizational skills and attention to detail
Proven ability to manage sensitive and confidential information with discretion
Dependability, flexibility, and professionalism in high-trust, high-responsibility settings
Embodiment of a Warrior's Spirit and a Servant's Heart in daily work
